About the scheduler
The vehicle-check scheduler is designed to allow you to monitor and manage your scheduled maintenance/compliance tasks on your assets.
Every asset on your system (regardless of type) can have as many schedules as you like configured against them.
The scheduler operates around a system of Schedules (the overall repeat task) and Events (the individual task) to help keep you on top of your day to day operations.
vehicle-check will monitor your schedules and inform you of any upcoming and overdue tasks that require your attention.
Before you start
Before you can add any details to the scheduler you would need to make sure both an asset and workshop have been created.
You can do this by going onto settings > manage assets > add an asset
For the workshop this is settings > manage workshop > add a workshop
Scheduler Dashboard
The dashboard will give you an overview of upcoming events. The current events box on the left shows all events that are due this week. On the right, it will show the calendar view, all events due in 28 days and the percentage of the completed events this month.
Creating a schedule
You can create a schedule from three different locations within vehicle-check.
- Navigate to Settings > Assets and click Add Schedule at the top of the list.
- Within an asset profile, you can navigate to the scheduler tab, and select Add Schedule from any screen.
- Select the scheduler option from the main menu, click on view Calendar View, and then click on Add Schedule.
Viewing schedules on an asset
You can see all active schedules on an asset. To view the active schedules on a vehicle:
- Navigate to settings
- Select manage assets
- Select the asset you want to check (it will show "Scheduled" within the type if the vehicle has an active scheduled on it)
- Click on Schedules
- This will show all the active schedules (each schedule is broken down into pending, overdue, and finally completed events.)
- Click the magnifying glass to view the next due event of that schedule
Viewing the schedule calendar
The scheduler screen has a calendar view which allows you to see all events within a month. To access the calendar please click on the schedule screen > calendar view.
This will look like this:
Each box is an event due on that day. If the calendar screen is empty you would either need to add the schedules (see section above) or have no due events that month.
You can either view the full month as a calendar or select list in the top right and this will change the view to show everything as a list.
Completing a schedule event
To complete an event you would need to select the event through either the asset view or calendar view.
When clicking an event you can book the event in and also mark the vehicle as at the workshop. These are optional so if you want you can just add the event and mark it as completed.
This will ask for the date it was completed, any comments and also to upload a PDF document (it is mandatory to add a document in and you cannot complete the event without it). For example:
